A wedding transportation plan that fits the setting.

A downtown reception, a vineyard ceremony and a mountain-area wedding all have different travel needs. Start with the places your guests will stay and the times they need to arrive. We can review an itinerary that brings the group together without asking everyone to create a separate travel plan.

  • Bend, Redmond and Sisters: discuss hotel pickups for Central Oregon ceremonies, ranch settings and resort celebrations. Share road access, venue entrance and turnaround information early.
  • Portland and Willamette Valley wine country: connect city hotels with vineyard or countryside venues around the valley. A winery’s guest parking area may not be suitable for a coach, so loading and staging need review.
  • Eugene, Salem and Southern Oregon: plan guest transfers between regional hotels, ceremony locations and reception sites. Include separate venues and any requested photo or meal stops in the itinerary.
  • Tacoma, Seattle and the South Sound: coordinate hotel-to-venue transportation for urban, waterfront or rural celebrations. Ferry-dependent or remote itineraries need specific timing and access review.

These are planning examples rather than fixed packages. Vehicle availability, venue access and the full itinerary are reviewed for your date.

Build the schedule around your guests.

  • Estimate who will ride: count wedding-party travel separately from guest transfers. Ask guests which hotel or meeting point they will use.
  • Set arrival before the ceremony: allow time for boarding, travel, unloading and guests finding their seats. The ceremony start is not the target bus-arrival time.
  • Choose the pickup structure: one central hotel, several hotel stops or separate departures may suit different groups. Share your preferred plan and passenger estimates.
  • Plan the return in advance: an early departure and a final departure may help guests with different needs. Confirm the number of trips and operating windows in the quote.
  • Check the venue’s coach access: provide driveway details, gates, slopes, loading space, parking instructions and the venue coordinator’s contact.
  • Make accessibility part of the plan: explain mobility or assistance requirements before vehicle selection. Confirm the agreed arrangements and boarding instructions with the charter team.

Think beyond the ceremony transfer.

Your transportation request can cover a welcome event, rehearsal dinner, ceremony and reception transfers, or a next-day group activity. A wedding weekend may involve several distinct movements; list each one rather than assuming that a vehicle is available throughout the stay.

For example, a Bend wedding might use an afternoon hotel pickup, a ceremony-and-reception transfer and two agreed return departures. A Willamette Valley vineyard wedding might bring guests from Portland-area hotels and return them to the same pickup points. A Tacoma celebration might coordinate separate wedding-party and guest movements. We will review the vehicle and operating requirements for the actual plan.

For a hosted gathering before or after the wedding, explore wine and brewery tour transportation. Larger gatherings with a hotel program may also benefit from the planning approach on our conference shuttle page.

Give guests instructions they can use.

Before the day, share the exact pickup address, boarding time, planned departure, return meeting point and a reachable wedding contact. Put the same information on your wedding website and in hotel welcome materials. A short, consistent message is easier for guests to follow than several different versions.

Choose a planner or another designated person to approve travel changes and communicate with the charter team. Provide the final passenger estimates, venue contacts and schedule before the trip, and ask how additions, waiting time or a later return will be handled.

The quote should reflect travel dates, passenger counts, all pickup and drop-off addresses, required arrival times and the final return. Vehicle features, storage, special requests, parking and any extended operating time should be reviewed in the written arrangements.

Wedding shuttle questions

Can we have an early and a late return for guests?

Include the desired departure times and expected passengers for each trip. Our team will review the route, vehicle plan and availability. Multiple departures need to be part of the confirmed itinerary.

Can you serve a vineyard, ranch or rural venue?

Share the exact address and the venue’s coach-access information. Driveway width, turning space, grades, gates and approved loading areas must be reviewed before the transportation is confirmed.

Can the wedding party travel separately?

Yes, you can request a separate wedding-party movement. Include its passenger count, preparation locations, photo stops and timing so it can be planned alongside guest transportation.

How early should we inquire?

Contact us when your date and venues are known, particularly for weekends and busy event periods. A quote request allows the team to review availability; service is confirmed through the booking process.
